Privacy Policy
This policy explains how New Roots handles website inquiries, requested account invitations, optional app alerts, and optional phone verification for New Roots app sign-in.
What you share
The inquiry form asks for your name, email, optional phone, who you are inquiring for, and your question. If you request a text confirmation, we also record your consent, its wording, and when you gave it. Please provide only basic contact details and questions. Do not send medical records, government identification numbers, financial details, or another person’s private information.
How we use it
New Roots saves your inquiry privately to review it, respond, and track follow-up. An inquiry does not create a resident account, reserve housing, or complete admission. Your information is not added to the public website. A phone entered here is not enrolled for app sign-in.
Email and optional text acknowledgments contain a receipt reference rather than a copy of your message. New Roots keeps the original message in its private inquiry inbox. Staff may contact you about the question you submitted.
Requested account invitations
Residents and staff may ask New Roots staff, verbally or in person, for a text containing an account activation link. Before sending, staff must obtain a clear yes to the invitation text, confirm the personal mobile number, and confirm in the app that the selected person requested the invitation. A number already on a profile is not consent to receive a text. Our staff consent script explains this process.
New Roots uses the reviewed contact details to send the requested invitation and enable account setup. The app keeps limited invitation records, including the initiating staff account, request time, reviewed recipient and message, and sending-service result. The staff confirmation does not create an audio recording or a signed consent form. The invitation message contains account setup instructions, not private resident information.
Optional app alerts
In your account’s notification settings, you can provide your own mobile number and choose Text delivery for individual alert categories. Saving those choices opts that number into the selected New Roots alerts. Receiving an invitation, signing in, or having a number on a resident profile does not enroll you in recurring text alerts. See how app text-alert consent works.
We store your alert number, selected categories and delivery channels, the time you save your preferences, and an audit record of preference changes. Delivery records may include the notification reference, channel, sending-service reference, attempt time, and delivery result or error. These records help us apply your choices, troubleshoot delivery, and prevent duplicate sending; saving a preference does not prove a message was delivered.
Alert options and recipients depend on your account role and permitted houses. Operational texts use a brief notice and a link to the authenticated app rather than resident names, submitted documents, or private report details. Opening the link still requires the appropriate account access.
Optional account phone verification
If you enroll your own phone in the app, New Roots associates the verified number and your consent with your account for text sign-in. Twilio processes that number and the verification request to send and check a one-time code. This is separate from an inquiry confirmation. Remove your verified phone in Account & sign-in to disable this option; your password remains available.
Services that help us operate
Cloudflare provides hosting, storage, and spam protection. Its Turnstile security check processes technical browser and network information to help prevent automated submissions. When delivery is enabled, Resend processes email addresses and acknowledgment, invitation, or app-alert messages, and Twilio processes opted-in phone numbers and text messages to send confirmations, requested invitations, selected app alerts, and verification codes. These providers process information needed to provide their services.
We do not sell or share your SMS opt-in data or personal information with third parties for marketing purposes.
Mobile information and messaging consent are not shared with affiliates for marketing or promotional purposes. Service providers may process the information needed to deliver the messages you requested.
Access and retention
The inquiry inbox requires an authorized New Roots owner account. Inquiry records are retained for follow-up and related administrative needs. Technical controls also keep limited records to prevent abuse and track whether a sending service accepted a notification.
App-alert preferences, change records, and delivery records are retained for account administration, consent review, and delivery troubleshooting. Turning an alert off changes future delivery choices; it does not itself erase past records. Contact New Roots below to request a correction or deletion.
Your choices
Text consent is optional and is not a condition of housing, admission, or services. You can submit an inquiry without it, request an account invitation by email, or call or email us directly. Turn off individual Text choices in your account and save to stop those app-alert categories. Reply STOP to stop invitation, inquiry, and app-alert texts from the sender, or HELP for help. See our Terms & Conditions. Contact New Roots using the details below to ask about your information, request a correction, or request deletion. We may need to confirm your identity before responding to an information request.
